A reviewable file: figures linked to sources, an identifiable version and an owner for each question.
What should you prepare for a zakat return review?
Identify the business, period and return status first. Connect financial information to its sources and put unresolved questions in one register. A reviewer needs to understand what a figure represents and where it comes from.
This business guide provides a workflow, an illustrative example and a blank download. Determining the zakat base, treatment or amount requires the facts and applicable rules; this is not a universal mandatory document list.
Preparing the file and submitting the return
Preparation means organising information, resolving questions and identifying an approved version. Filing is an official ZATCA transaction. The business zakat return service page provides the entry point and guidance for the transaction.
Agree who prepares the workpaper, who reviews it, who approves the information and who has authority to submit. Sending a file for review does not mean it has been filed with ZATCA.
Five steps to a reviewable file
- Identify the file. State the business, activity, period and whether the return is unsubmitted, submitted or connected to a clarification request. Flag changes that need discussion.
- Identify information sources. Connect available financial statements, the trial balance and supporting schedules to the same period. Give each document a usable reference.
- Explain differences. When a schedule and ledger balance disagree, record the difference, source and question. Do not adjust a figure merely to make totals match.
- Separate confirmed and open items. Record incomplete information as a question with a follow-up owner. An empty cell is not a completed review.
- Approve the handover version. Identify the copy being shared and its approver. Preserve a record of resolved and outstanding points.
What belongs in a preparation register?
| Group | Bring to the discussion | Question it helps answer |
|---|---|---|
| Business information | Available activity, ownership and period details | Are we reviewing the same business and period? |
| Financial information | Available statements, trial balance and supporting schedules | Where does the balance come from, and which version is being reviewed? |
| Previous file | Prior return and workpaper, where available, plus changes | What requires a fresh review? |
| Clarification request | The request and relevant attachments or earlier responses | Which evidence answers the question? |
| Open issues | A question, source reference, owner and status | Who resolves the point before an action is approved? |
Download the zakat preparation and review register. Open it in a spreadsheet application and add one row per item. The blank register contains no zakat formula or compliance certification.
Illustrative example: a balance differs from its supporting schedule
A finance team has a trial balance and movement schedule with different totals. A new file arrives without explaining what changed. Instead of choosing a figure or forwarding both copies without context, the team records:
- Issue: the trial balance and supporting schedule do not agree.
- Source: the version, period and relevant entry or document reference.
- Question: was a movement added to one version without being reflected in the other?
- Action: the owner follows up the explanation; the revised copy is reviewed and its approval recorded.
The immediate outcome is a traceable explanation. This hypothetical example does not determine an item’s effect on the zakat base or describe a client case.
A quick check before sharing
- The business, period and return status are clear.
- Each schedule has a source and version status.
- Differences and open questions have follow-up owners.
- Preparation, review, approval and submission responsibilities are agreed.
- The sharing channel and intended recipients are clear.
Use the print button for a paper copy. Keep internal details in your register and begin a general enquiry with a short explanation before sharing documents.
Choose the next step that fits your question
- An official transaction: browse ZATCA’s zakat services and select the relevant procedure.
- File review or an unclear item: read Mada’s business zakat advisory scope and identify your required output.
- A document request: use the guide to connecting requests with attachments and responses.
Questions about preparing the return file
Can I copy the previous period’s file?
Its organisation may be useful, but review changes, information and figure sources. An earlier file does not establish that facts or requirements are unchanged.
Does completing the register make the return ready to submit?
The register is an internal tracking tool. Approval and submission depend on review scope, facts, required information and the authorised person’s responsibilities.
Do I need an adviser for every transaction?
ZATCA provides official services through its portal. Professional support can be agreed when the team needs preparation, review or clarification of a specific issue.
How can I send Mada a useful question?
Identify the business type, period and return status. Explain the issue and what you need clarified. Agree the necessary documents before sending them.
Turn the question into a clear scope.
